The Administrative Assistant will support the Head of Lockbox, his direct reports, and the directors of Lockbox. The ideal candidate will proactively provide feedback and present ideas for improving or implementing processes and tools with Administrative Assistance impact. They will perform complex administrative support tasks, provide support on escalated questions, and interact with client personnel on a wide range of information.

The candidate must be part of the pilot program and is required to work five days a week at the Shoreview, MN, location. Prioritize candidates with strong organizational skills, multi-tasking ability, and proficiency in Microsoft Office Suite, SharePoint, MS Teams, and Concur.

1. Scheduling and Calendar Management: Coordinate meetings, events, etc.
2. Communication – handle incoming and outgoing correspondence,
3. Document Management – Maintain documents – digital, easily accessible and up-to-date; to date, data drive – leverage excel, power point, to enter and update systems or communications effectively, order supplies, ensure multiple sites are well-stocked and equipment maintained, assist with expense reporting and invoice processing, book Travel Arrangements – flights, accommodations and transportation, Meeting support – prepare agendas, take meeting notes and distribute relevant information/materials, assist with recruitment onboarding of new employees, Project Coordination & IT support services.
